THE TABLE COLLECTIVE, INC.- FACILITIES USE POLICY
1. Purpose of Facilities
The facilities of The Table Collective, Inc. (“The Table Collective”) exist to support its mission of faith-rooted community connection, service, and support. The space is intended to serve as a welcoming environment for gatherings, programs, and activities that align with the organization’s charitable purpose and values.
While the facilities are not generally open to unrestricted public use, The Table Collective may make its space available to approved individuals, organizations, and community groups on a case-by-case basis for events, meetings, and activities that are consistent with its mission.
2. Mission Alignment & Use Standards
Facilities may only be used for activities that:
•Are lawful and non-commercial in nature
•Do not conflict with the mission, values, or nonprofit purpose of The Table Collective
•Do not present reputational, safety, or legal risk to the organization
The Table Collective reserves the right to approve or deny any request at its sole discretion.
3. Priority of Use
Priority will generally be given in the following order:
1.Programs and events sponsored by The Table Collective
2.Partner organizations, churches, nonprofits, and community groups
4. Businesses and individual use.
5. Our office remains operational during all bookings. Staff may be present and working on-site during weekday bookings and will continue to uphold professional standards, including being respectful and mindful of the booking client at all times.
Approval is required for all uses of the facility.
We require a minimum of two (2) days’ advance notice for all bookings.
4. Facility Use Hours
Facility use is generally available:
•Monday–Friday: 8:00 a.m. – 9:00 p.m.
•Saturday: 8:00 a.m. – 6:00 p.m.
Use outside these hours requires prior written approval.
5. Reservation Process
•All requests must be submitted using the Facility Use Request & Agreement Form
•Reservations are not confirmed until written approval is granted
•Events will be placed on the calendar only after approval and receipt of any required deposit
6. Fees
•We recommend a $5.00/Person donation to our money box outside our door. This helps us continue our mission. This is recommended for bookings NOT required.
7. Care, Cleaning, and Damage
Groups are expected to leave the space in a clean and orderly condition.
The individual or organization signing the agreement assumes responsibility for:
•Any damage to the facility, furnishings, or equipment will result in a fine.
•Additional cleaning required beyond normal wear and use

8. General Facility Rules
1.) Alcohol & Drugs: Alcohol, illegal drugs, and substance abuse are prohibited on the premises.
2.) Smoking: The Table Collective is a smoke-free facility (including vaping).
3.Conduct: Abusive language, harassment, or disruptive behavior is not permitted.
4.) Decorations: Only removable, non-damaging decorations are allowed. Open flames are prohibited unless explicitly approved.
5.) Furniture & Equipment: Furniture may not be moved or removed without approval and must be returned to its original setup.
6.) Restricted Areas: Use is limited to approved spaces only.
7.) Security & Property: The Table Collective is not responsible for lost, stolen, or damaged personal property.
9. Liability & Indemnification
The Table Collective is not responsible for injury, loss, or damage incurred during facility use.
Users agree to indemnify and hold harmless The Table Collective, its Board, officers, staff, and volunteers from any claims arising from their use of the facility.
10. Right to Cancel
The Table Collective reserves the right to cancel or terminate facility use at any time if:
•Policy violations occur
•Safety concerns arise
•Use is determined to be inconsistent with the organization’s mission or values
You may cancel your booking up to 2 hours prior to your booking. Failure to cancel consecutively or abundantly will result in flagging for future bookings.
12. Rental Fees & Time Limits
•Booking Rate: Recommended Donation of $5.00/person
•Minimum Use: Two (2) hours
11. Donations & Fiscal Sponsorship
At this time, The Table Collective operates under the fiscal sponsorship of the Western Indiana Community Foundation while its 501(c)(3) status is pending.
All payments related to facility use, including deposits and rental fees, must be made by check payable to:

13. Capacity Limits
•The facility has a maximum occupancy of 32 persons at any one time
•Events structured as open house–style gatherings may be approved for higher attendance provided guests are staggered and do not exceed safe occupancy limits at any given time
•Capacity exceptions must be requested in advance and approved in writing
14. Access & Entry (Door Code Policy)
For approved bookings, The Table Collective will provide the renter with a temporary one time door access code on the day of the event.
•Door codes will be sent via text or email to the primary contact listed on the reservation form
•Codes are valid only for the approved date and time of use
•Door codes may not be shared outside of event organizers
Failure to secure the facility after use may result in forfeiture of privileges for future reservations
