Event Booking

This booking form is intended for those looking to utilize the facility building of The Table Collective for a event. These events can be celebrity or more causal. The Table Collective does not allow more than 32 individuals in our building at one time. We may only ever accommodate 32 inside at one given time. Open House Style events may exceed 32 but only during reasonable months where outdoor space is usable. (April-September)

•Rental Rate: $25 per hour
•Minimum Use: Two (2) hours
•Security Deposit: $100 due at the time of reservation
***$50.00 will be reimbursed upon compliance with facility use policy. 


For A Regular Rental Package it is $100. This includes 2 hours of time using our space. This includes Setup + Tear Down time! If our space is left in compliance with our contract you will be contact to receive back $50 of the original $100 rental cost. You may receive this back or donate it to our mission. 

If you need additional time in the space Than two hours please make that known below.

FACILITIES USE POLICY

Below we ask that you review our Facility Policy Carefully. After review, please sign on the line following declaring that you have read and understood the policy put in place for our building and the use of the space upon renting. 
THE TABLE COLLECTIVE, INC.- FACILITIES USE POLICY

1. Purpose of Facilities
The facilities of The Table Collective, Inc. (“The Table Collective”) exist to support its mission of faith-rooted community connection, service, and support. The space is intended to serve as a welcoming environment for gatherings, programs, and activities that align with the organization’s charitable purpose and values.

While the facilities are not generally open to unrestricted public use, The Table Collective may make its space available to approved individuals, organizations, and community groups on a case-by-case basis for events, meetings, and activities that are consistent with its mission.

2. Mission Alignment & Use Standards
Facilities may only be used for activities that:
•Are lawful and non-commercial in nature
•Do not conflict with the mission, values, or nonprofit purpose of The Table Collective
•Do not present reputational, safety, or legal risk to the organization

The Table Collective reserves the right to approve or deny any request at its sole discretion.

3. Priority of Use
Priority will generally be given in the following order:
1.Programs and events sponsored by The Table Collective
2.Partner organizations, churches, nonprofits, and community groups
3.Private community events (e.g., birthday parties, baby/bridal showers, meetings)
** Approval is required for all uses of the facility.

4. Facility Use Hours
Facility use is generally available:
•Monday–Friday: 8:00 a.m. – 9:00 p.m.
•Saturday: 8:00 a.m. – 6:00 p.m.
***Use outside these hours requires prior written approval.

5. Reservation Process
•All requests must be submitted using the Facility Use Request & Agreement Form
•Reservations are not confirmed until written approval is granted
•Events will be placed on the calendar only after approval and receipt of any required deposit

6. Security Deposit & Fees
•A refundable security deposit may be required to reserve the facility
•Deposits may be withheld to cover excessive cleaning, damage, or policy violations
•Any applicable rental fees or donations will be communicated in advance

7. Care, Cleaning, and Damage


Please follow the instructions left for cleanup in our space located on the wall by our washer and dryer. 

Groups are expected to leave the space in a clean and orderly condition.
The individual or organization signing the agreement assumes responsibility for the following and will result in not receiving their deposit back. 

•Any damage to the facility, furnishings, or equipment
•Additional cleaning required beyond normal wear and use
  • All Trash is disposed of into our trash can on the south side of our building.



8. General Facility Rules
1.Alcohol & Drugs: Alcohol, illegal drugs, and substance abuse are prohibited on the premises.
2) .Smoking: The Table Collective is a smoke-free facility (including vaping).
3.) Conduct: Abusive language, harassment, or disruptive behavior is not permitted.
4) Decorations: Only removable, non-damaging decorations are allowed. Open flames are prohibited unless explicitly approved.
5.) Furniture & Equipment: Furniture may not be moved or removed without approval and must be returned to its original setup.
6.) Restricted Areas: Use is limited to approved spaces only.
7.) Security & Property: The Table Collective is not responsible for lost, stolen, or damaged personal property.

9. Liability & Indemnification
The Table Collective is not responsible for injury, loss, or damage incurred during facility use.
Users agree to indemnify and hold harmless The Table Collective, its Board, officers, staff, and volunteers from any claims arising from their use of the facility.

10. Right to Cancel
The Table Collective reserves the right to cancel or terminate facility use at any time if:
•Policy violations occur
•Safety concerns arise
•Use is determined to be inconsistent with the organization’s mission or values


11. Payment & Fiscal Sponsorship
At this time, The Table Collective operates under the fiscal sponsorship of the Western Indiana Community Foundation while its 501(c)(3) status is pending.

All payments related to facility use, including deposits and rental fees, must be made by check payable to:

Payments that are not properly issued may delay or void approval of facility use. Rental approval is not final until payment arrangements are confirmed via the giving link shared with you in confirmation of your email.

12. Rental Fees & Deposits
•Rental Rate: $25 per hour
•Minimum Use: Two (2) hours
•Security Deposit: $50 due at the time of reservation (refundable)

Ex: A basic rental is $100 with $50 of that being refunded to you if rental agreement is found to be satisfied by The Table Collective Staff. 

Following the event:
•$50 of the deposit will be refunded if the facility is left clean, undamaged, and in compliance with this policy
•$50 will be retained as a standard usage and administrative fee
•Additional charges may apply if excessive cleaning or damage occur


13. Capacity Limits
•The facility has a maximum occupancy of 32 persons at any one time
•Events structured as open house–style gatherings may be approved for higher attendance provided guests are staggered and do not exceed safe occupancy limits at any given time
•Capacity exceptions must be requested in advance and approved in writing

14. Access & Entry (Door Code Policy)
For approved events, The Table Collective will provide the renter with a temporary door access code on the day of the event.
•Door codes will be sent via text or email to the primary contact listed on the reservation form
•Codes are valid only for the approved date and time of use
•Door codes may not be shared outside of event organizers

Failure to secure the facility after use may result in forfeiture of deposit privileges for future reservation

**This only accounts for a basic rental. Additional hours will be an additional charge.

By signing below, I affirm that:

1.The requested use aligns with the mission and values of The Table Collective
2.I have read and agree to the Facilities Use Policy
3.I accept responsibility for all damages, cleanup, and conduct of attendees
4.I understand that approval may be revoked if policies are violated
